WHAT IS A PROCTOR?
A proctor is someone appointed to supervise students during an exam (i.e. advisor, faculty, librarian, GVTC coordinator/director, etc.)
WHAT IS A PROCTORED EVENT?
HGTC Online courses require at least one proctored event. This means students need to schedule a time to complete a supervised course assignment at an approved testing center and/or with an approved proctor for certain graded activities (i.e. exams, projects, etc.). For example, a student living in Atlanta taking a web-based course through HGTC may go to a testing center at an approved location (i.e. Atlanta Technical College Media Center) to take required events instead of making campus visits to Heart of Georgia Technical College.
The online staff member or online instructor will send instructions and proctoring materials directly to the testing center or to the proctor. The proctor will check student identification and supervise the event according to the instructions provided by the instructor. At the end of the event period, the proctor will collect and return the results to the instructor. All terms of proctored events are subject to the approval of the Online Faculty/Staff.
WHO IS RESPONSIBLE FOR SCHEDULING A PROCTORED EVENT?
Students are responsible for checking their course syllabus, calendar, or with their instructor to determine when a proctored event must be completed. It is the student's responsibility to schedule the event time with an approved proctor. It is a good idea to make these arrangements as soon as the date of the proctored exam is known. Proctored exams must be scheduled at least 7 days prior to the date of the event. Failure to allow a 7-day notification may result in the student receiving an incomplete grade or a failing grade for the exam and/or course.

HOW DO I FIND A TESTING CENTER?
Students must arrange appointments for proctored events at their home colleges (technical college). Acceptable proctors include technical college advisors, GVTC coordinators/directors, faculty, and media center/library personnel. To make arrangements, please contact one of the points of contact at the following web address:

Students should email online instructor with proctor name and contact information and give Proctor Application to the proctor.
*NOTE* The proctor must NOT be related to the student.
If a student is out of state or not from an area within a reasonable distance of one of the approved TCSG colleges on the proctor listing above, they may use this Proctor Application to request the services of a Proctor outside the Technical College System of Georgia. The student should have their requested proctor complete and sign this application. The application should then be presented to their online course instructor for approval either in-person, via US Mail or fax, or the signed application may be scanned and emailed to their instructor. Your online course instructor must approve your choice of proctor in writing prior to scheduling of the proctored event.
The following is a list of accepable proctors:
- A faculty member or administrator of an accredited university or college
- A school superintendent, principal, or counselor
- A head librarian
- A commissioned officer whose rank is higher than the student's own (for students in the military only)
- A corporate education director.
When contacting a testing center, students should be certain to ask the testing center personnel for their hours of operation (be certain to allow enough time to take the exam prior to the testing center’s time of closing), directions or a map to the location, whether or not a fee will be charged (students should be prepared to pay this fee when they report to the testing center), and any other important information or requirements. Students should notify their instructor immediately if they are unable to locate a testing center, or if they change the date or location of their examination.
WHAT SHOULD A STUDENT DO PRIOR TO TAKING THE EXAM?
Students with disabilities or requiring special testing accommodations should contact their instructor prior to scheduling a testing center.
Children are not allowed in most testing centers. If a student has childcare needs, appropriate childcare should be arranged in advance. In the absence of childcare arrangements, the student may have to reschedule the exam. Rescheduling a proctored exam may cause the student's grade to be delayed.
WHAT SHOULD A STUDENT DO ON THE DAY OF THE EXAM?
Gather all material needed to take the exam. Specific instructions regarding what a student may or may not bring to the exam should be obtained from the online instructor. A student will only be allowed to take the items that the instructor has given. The online faculty/staff will provide the proctor with a list of items that the student is allowed to use during the exam. Students are not permitted to take food or drinks to the testing center.
Students must present a valid photo ID (Driver’s License or other acceptable ID) to the testing center and will not be allowed to take their exam without first presenting their IDs to the proctor. Students who fail to do this may need to reschedule their exam, which could cause their final grade to be delayed.
Some testing centers require a fee to be paid for the proctoring service. If the testing center charges a fee, students should bring the correct fee payment with them. If a student is unable to make the scheduled testing appointment, he or she should notify the instructor and the testing official immediately.
WHAT HAPPENS AFTER THE TEST?
The proctor will collect the student's exam once it has been completed. It will then be forwarded to the student's instructor for grading. For final exams, the student will be able to access a grade report online at the end of the quarter from the college in which the student is enrolled. Grades cannot be provided over the telephone. |
